Terms and Conditions

Please ensure that you have read and understood the terms and conditions prior to making your reservation with Acadia Travel Agency. They will be binding on us both: Acadia Travel Agency hereinafter called “The Company” and you hereinafter called “The passenger(s).”

Booking Information:

Prices are in Canadian dollars per person, double occupancy, unless otherwise stated and are subject to change without notice. We reserve the right to impose currency surcharges. Single, triple, children and infant rates may be available on request.

Travel Insurance:

If purchased must be paid at time of deposit, and is highly recommended. The premium cost will vary with length of vacation, age and type of insurance coverage required. The insurance conditions are subject to the insurance company provider.

Credit Cards:

We accept Visa, MasterCard and American Express. Acadia Travel Agency must receive in writing the draft amount to be charged and passenger names included in the payment. Credit cardholder must authorize all charges.
Written authorization of the use of your credit card indicates your compliance with our booking terms and conditions whether or not you have signed the appropriate draft.

How to Book:  

Reservations may be accepted through our booking site, in person or over the phone at (416) 537-2643 or 1-800-266-1744. A minimum $250 per person non-refundable deposit is required, plus insurance if purchased. Larger non refundable deposits may be required for vacations that include, for example, charter flights, motor coach tours or cruises. Packages operate on request, and allow up to 2 business days for confirmation. When making your reservation please make sure your name given matches the name on your passport. If the chosen vacation is not available and an acceptable alternative is not found your deposit will be refunded. Bookings made 45 days to departure may have an additional $50 per person late fee to cover Acadia Travel Agency additional administration and service fees.

Balance of payment:

Full and balance of payment must be in Acadia Travel Agency office 45 days prior to departure, or immediately for reservations made within 45 days to departure. Some vacations offered may require balance or full payment more than 45 days to departure. All monies received by Acadia Travel Agency remain non-refundable. We reserve the right to cancel your vacation if not paid in full by due date.

Changes to Reservation:

Should you decide to make a change to your original reservation all effort will be made to comply. A per person service fee of $50 plus fees imposed from land providers and airlines will be added to the cost. Changes in most cases after full payment has been received will not be accepted.
If we make changes: Sometimes after confirmation minor changes to your reservation may occur. However if a major change occurs you may accept the change as offered or cancel your vacation with refund. Major changes include the following:
• Change of departure or return by more than 16 hours (except events beyond our control such as weather, mechanical, disturbances, health risks)
• The standard of your accommodation is downgraded
• The cost of your travel arrangements increases by more than 7% except when this increase is Government imposed
• Your flight is rerouted in such a way that new documentation is needed and you do not have enough time to meet this requirement

After Departure:

No refund will be given for unused Holiday items. If you have a concern please contact our destination representative immediately. If you have a dissatisfaction that you would like to bring to the attention of Acadia Travel Agency please send your written comments within 30 days of your return.

Any claim received more than 30 days after your return, will not be accepted. Acadia Travel Agency will not consider any claims that are in excess to the cost of your holiday. The laws of the province of Ontario shall apply in determination of any such dispute, controversy or claim.
The decision of the single arbitrator shall be final and no party may appeal the decision of any court.

Not included in the prices:

Meals and drinks (except where stated) tips, airport taxes, insurance (except car third party liability), visas and travel documents, entrance fees in parks and monuments, laundry, and all other items of a personal nature, unless otherwise specified.

Documentation and Health requirements:

Valid passports are generally required. Some countries also require tourist cards or entry visas and special inoculations. Canadian Passport holders do not need a Visa to visit the European Union, for 60 days or less. But their travel documents must remain valid until at least three months after the intended date of departure from the territory of member states. Please check with the nearest Consulate(s) of the country or countries you are visiting and Government health departments. For information about requirements in your particular case, the passenger is responsible for obtaining all visas and entry documents, and for meeting all health and other requirements and any documents required by the countries to be visited.

Baggage Allowance:

You must ask us or specific airline on which you are traveling for weigh and piece restrictions. Lost or damaged baggage is the responsibility of the airline. If this occurs contact the airline representative prior to leaving the airport. Failure to do so will invalidate any potential claim you may have.  Carry on baggage and articles permitted check with the Canadian Air Transport Security Authority www.castaacsta.gc.ca/english/travel voyage/list.shtml. Motor coach companies require a restriction of one large suitcase and one carry-on bag per person.

Travel Documents:

If your reservation has been paid in full 45 days prior to departure you will be sent your travel documents at least 21 days from scheduled departure. Documents may include airline tickets and schedules, land vouchers, general information on your vacation.

Tours conducted in languages other than English:

Some of our group departures may be conducted in either Portuguese and/or Spanish for the convenience of the participants of those groups. All the passengers wanting to join such groups may do so, in the understanding that English/French speaking guides will not be provided.

Land Arrangements:

• The tour prices vary according to the grade and location of the accommodation featured. All hotels undergo routine maintenance and renovations year round. If significant work is being done at your hotel, we will try to advise you prior to departure. Check in time at most hotels is 3pm and check out time 11 am.

Special Car Rental Notes:

Car provided includes unlimited kilometres, public liability insurance, collision and comprehensive (a deductible amount applies in most countries.) Collision deductible waiver insurance is generally available at a supplementary charge paid locally. Major credit cards are usually acceptable. No refund will be granted for the use of less than minimum time or mileage. Tolls, garaging, gas, fines and road taxes, if applicable, are not included in the price. Minimum and maximum age of driver varies from country to country. Drop off charges may also apply on pick it up here and drop it off there rentals. Charges may also apply for any extra driver. Some countries require an international driver’s license. Please check with us the applicable charges if any, in your particular case. A deposit to cover the deductible amount is required at the time you pick up your car.
Amenities and services on this site are subject to change:

Descriptions of amenities and services are given for your information only and are not included in the cost of the tour: Acadia Travel Agency shall not be liable if both amenities and/or services cease to be available for reasons beyond our control.

• The tour figure includes a charge for making the reservations and the cost of planning these trips. You pay, in effect for the convenience of having reservations confirmed and prepaying your land arrangements
• The right is reserved to substitute hotel of similar quality if space is exhausted in named hotels

It should be understood that:

• Grading of hotels and services are in accordance with standards established in countries where hotels and services are supplied
• Selling prices are based on contracts between the company and suppliers of accommodation and services featured. The company will not entertain any claim at any time for price adjustments due to devaluation of local currencies or other reasons whatsoever. Your full payment of the tour/or services quoted represents your acceptance of these conditions.

Holiday Flights/Accommodations/Services:

The Company will endeavour to provide all the services as booked, but the right is reserved to modify or change any flight, accommodation or arrangement at any time before your departure. Should a change in flights/accommodation/services be necessary for reasons beyond our control, you will be advised immediately of such changes. If alternatives offered are not acceptable you may cancel all or part of the services booked without penalty, providing that notice of cancellation is received in our office within 4 business days from the date you were notified of such changes. If notice of cancellation is not received within the prescribed time, penalties as per conditions under “refunds” will apply.

Company’s responsibility:

The company acts only as agent for the owners and contractors supplying means of transportation, accommodations and other travel services. Tickets receipts and contracts issued or services provided, are subject to any and all terms and conditions under which such means of transportation, accommodation and other travel services are offered and provided. Issuance of tickets, vouchers and other documents are deemed to indicate consent to the further condition that the company shall not be or become liable or responsible in any way in connection with such means of transportation, accommodation and/or other travel services, neither shall the company be responsible or liable for any loss, cost, damage, injury, delay or expense of any kind or nature arising from the use of any conveyance, accommodations or services or from acts of God, strikes, weather, quarantines, accidents, sickness, wars, Government regulations, insufficient documentation. Any loss or expense resulting from the above contingences shall be borne by the passenger / tour member. The right is reserved to withdraw any or all tours, should the conditions warrant, or to accept or retain any passengers as members of the tour.

Airline and car rental, train and bus companies’ responsibility:

The airlines involved in these programs are not to be held responsible for any act, omission or event during the time the passengers are not on board of their planes or conveyances. The passengers contract in use by the airline concerned, when issued shall constitute the sole contract between the airline and the purchaser of the tours. Similar responsibility as noted applies to car rental, train, bus, and transportation companies involved in our programs.
